Project Accountant
The Makati Business Club (MBC) is looking for a Project Accountant who will be responsible for the financial management, monitoring, and reporting of project funds and managed accounts, including organizations for which Makati Business Club provides financial administration, accounting, or secretariat support services. The position ensures that financial transactions, fund utilization, and reports are prepared accurately, timely, and in accordance with organizational policies, funding agreements, service agreements, and applicable accounting standards.
Responsibilities
Project and Managed Accounts Administration
- Maintain complete and accurate accounting records for assigned project funds and managed accounts.
- Record, monitor, and reconcile financial transactions in accordance with approved budgets, funding agreements, service agreements, and organizational policies.
- Monitor fund balances and ensure the proper utilization of project and managed account resources.
- Maintain separate accounting records and schedules for each managed account to ensure proper financial accountability.
Financial Monitoring and Reporting
- Prepare periodic financial reports, fund utilization reports, budget monitoring reports, and supporting schedules for management, donors, partners, and organizations supported by MBC.
- Monitor budget utilization and identify significant variances requiring management attention.
- Assist in the preparation of financial statements and other management reports relating to assigned project funds and managed accounts.
Budget Monitoring and Cost Allocation
- Monitor expenditures against approved project budgets and managed account allocations.
- Prepare and maintain cost allocation schedules and supporting documentation for shared expenses.
- Coordinate with Project Managers, budget owners, and partner organizations regarding financial performance and fund utilization.
Compliance and Audit Support
- Ensure compliance with funding agreements, service agreements, secretariat arrangements, organizational policies, and applicable accounting standards.
- Prepare supporting schedules and documentation required for internal and external audits.
- Maintain complete financial records to facilitate financial reviews, compliance monitoring, and audit activities.
Stakeholder Coordination
- Coordinate with Project Managers, partner organizations, and internal departments regarding financial requirements, budget monitoring, liquidation, billing, and financial reporting.
- Provide financial information and recommendations to support sound financial management of assigned project funds and managed accounts.
- Assist in improving financial monitoring and reporting processes for projects and managed accounts.
Perform other related duties from time to time.
Qualifications
- Bachelor’s degree in Accountancy, Accounting Technology, Finance, or a related field.
- CPA (Certified Public Accountant) certification is an advantage but not required.
- At least three (3) years of relevant accounting experience, preferably in project accounting, fund accounting, grant accounting, or financial administration of externally funded programs or partner organizations.
- Proficiency in QuickBooks Online (QBO), Microsoft Excel, and other financial software.
- Knowledge of budgeting, financial reporting, cost allocation, and financial compliance.
- Strong analytical, organizational, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple accounts and reporting deadlines.
- High level of integrity, accuracy, and attention to detail.
